Who we are

Keepsake ("Keepsake", "we", "us") provides a service for collecting video messages and assembling them into memory montages. Keepsake is the data controller for the personal data described in this notice. You can reach us at any time about privacy at mohammed.quli@gmail.com.

Personal data we collect

• Account data — your name, email address, and login credentials when you create an organizer account (including via Google sign-in).
• Event and recording data — event details (titles, welcome messages), and the video messages guests record, together with the guest's name and, for organizers' dashboards, playback activity.
• Montage data — the clip order, trims, title-card text, music choices, and chat messages you exchange with the AI editing assistant.
• Usage and device data — pages visited, features used, IP address, browser and device identifiers, and error reports, used to keep the service working and to improve it.
• Support and payment data — messages you send us for support. Payment card details are collected and processed by our payment provider, Paddle, as described below; we do not receive your full card number.

Why we use it (and our legal basis)

• To provide the service — creating events, storing and serving video messages, building montages, and letting guests record (contract performance).
• To bill subscriptions — processing upgrades and cancellations through our reseller (contract performance).
• To keep the service safe — preventing fraud, abuse, and unauthorized access; enforcing our Terms (legitimate interests).
• To improve Keepsake — analysing aggregated usage and fixing problems (legitimate interests).
• To communicate with you — service updates and responses to support requests (contract performance or legitimate interests); marketing only with your consent.

Who we share data with

• Service providers (subprocessors) — hosting, video storage, authentication, AI processing, analytics, and email delivery providers that help us run Keepsake, under contract and only for the purposes above.
• Paddle.com — our Merchant of Record. Paddle sells the Unlimited subscription on our behalf and handles payments, subscription management, tax compliance, invoicing, and refunds.
• Professional advisers — legal, accounting, and insurance advisers, under confidentiality.
• Authorities — where we are required by law, or to protect the rights, property, or safety of Keepsake, our users, or others.

We do not sell personal data, and we do not use your video messages to advertise to anyone.

International transfers

Keepsake and its providers operate globally, so your data (including video messages) may be processed outside your home country, including in the United States. Where personal data leaves the UK or EEA, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or an adequacy decision.

How long we keep it

We keep account data and your events and recordings for as long as your account is active. When you delete an event or your account, or when your subscription ends and the account stays inactive, we delete or anonymise the related data within 30 days, except where we must keep it longer for legal, accounting, or dispute purposes. Billing records are kept as long as tax law requires.

Your rights

Depending on where you live, you have the right to access, correct, delete, restrict, or port your personal data, to object to certain processing, and to withdraw consent (for example, for marketing) at any time. We respond to requests within one month. If you are in the UK or EEA, you also have the right to complain to your local supervisory authority.

Security

We use appropriate technical and organisational measures to protect personal data, including encryption in transit and at rest, access controls, and scoped permissions so that only the event organizer can access their event's recordings.

Cookies

Keepsake uses only essential cookies and equivalent browser storage — strictly for keeping you signed in and for security. We do not currently use advertising or third-party analytics cookies. If that changes, this notice will be updated and, where required, we will ask for your consent first.

Changes to this notice

We may update this notice as the service evolves. Material changes will be announced in the app, and the "last updated" date above will always tell you how current it is.
